“Office Administrative” is required for a multinational manufacturing company located in Maadi
Responsibilities:
- General duties such as photocopying, phone screening, faxing, mail distribution, and filing.
- Maintain a thorough knowledge of the office, including the location of various files, archiving documents, and reports. Keep the office organized.
- Responsible for the supply of catering, office stationaries, and maintaining inventories.
- Responsible for the update and maintenance of various distribution lists internally, and externally.
- Report problems with office equipment and coordinate actions with vendors.
- Schedule business appointments and meetings, and assist in the preparation for meetings. Keeps appointment calendar updated.
- Prepare purchase orders, process and report accounts receivable / payables, and prepare bank deposits.
- Be the link between The company and bank/auditors/accountant: in charge of document collection/remittance, and ensure reporting is done on time.
- Pays the monthly bills of the office.
- Be the timekeeper in all administrative tasks (invoices, reports, etc).
- Handle and monitor the petty cash of the office.
- Responsible for travel arrangements for employees and office visitors (travel/housing/visas).
- Assist in the creation of marketing material, and communication in collaboration with The company communication department.
- Support in any events organization (training, exhibitions, ...).
- Other duties as assigned.
Requirements:
- 2-5 years of experience maximum in this role.
- Fluent Command of English written and spoken.
- Excellent command of business software packages - Microsoft Office products, email and internet.
- In this small and fast-growing company, an entrepreneurial spirit is preferred.
- Strong knowledge of Oil & Gas environment is a plus.
