“Office Administrative” is required for a multinational manufacturing company located in Maadi


Responsibilities:
  • General duties such as photocopying, phone screening, faxing, mail distribution, and filing.
  • Maintain a thorough knowledge of the office, including the location of various files, archiving documents, and reports. Keep the office organized.
  • Responsible for the supply of catering, office stationaries, and maintaining inventories.
  • Responsible for the update and maintenance of various distribution lists internally, and externally.
  • Report problems with office equipment and coordinate actions with vendors.
  • Schedule business appointments and meetings, and assist in the preparation for meetings. Keeps appointment calendar updated.
  • Prepare purchase orders, process and report accounts receivable / payables, and prepare bank deposits.
  • Be the link between The company and bank/auditors/accountant: in charge of document collection/remittance, and ensure reporting is done on time.
  • Pays the monthly bills of the office.
  • Be the timekeeper in all administrative tasks (invoices, reports, etc).
  • Handle and monitor the petty cash of the office.
  • Responsible for travel arrangements for employees and office visitors (travel/housing/visas).
  • Assist in the creation of marketing material, and communication in collaboration with The company communication department.
  • Support in any events organization (training, exhibitions, ...).
  • Other duties as assigned.
Requirements:
  • 2-5 years of experience maximum in this role.
  • Fluent Command of English written and spoken.
  • Excellent command of business software packages - Microsoft Office products, email and internet.
  • In this small and fast-growing company, an entrepreneurial spirit is preferred.
  • Strong knowledge of Oil & Gas environment is a plus.
